To ensure its own corporate resilience and to provide its apprentices with the highest standard of instruction the JES Skills Academy was set up in 2023. Its objective was to guarantee that on completion of their training, all of their apprentices were work ready and fit for immediate employment. The Academy has radically furthered its ambitions and is now a Centre of Excellence for all of south west Wales, dedicated to providing high-quality education and skills development in the field of welding.

We are currently seeking a keen and enthusiastic Administrative Assistant to join our dynamic team and contribute to the training and development of aspiring professionals in the welding industry.
Job Summary:
As the Administrative Assistant, you will be responsible for managing day-to-day administrative tasks, facilitating course registrations and supporting the overall operational efficiency of the training academy. The role requires excellent organizational skills, proficiency in digital tools and systems, a friendly demeanour to create a welcoming environment for students and staff, commitment and enthusiasm.
Responsibilities:
Registration and Course Booking:

Manage the registration process for new and existing students.

Facilitate course bookings through the online Learning Management System (LMS).

Provide assistance to students with the registration and booking process.
Administrative Support:
-
Assist in maintaining organized records and documentation.

Handle general administrative tasks, including data entry, filing, and correspondence.

Coordinate with instructors and staff to ensure seamless communication and information flow.
Digital Skills:
-
Utilise and maintain proficiency in the online Learning Management System.

Provide support and training to staff and students on digital tools and systems.

Continuously improve digital skills to adapt to evolving technologies.
Customer Service:

Act as the first point of contact for inquiries, providing a friendly and helpful disposition.

Assist students, instructors, and visitors with information and support.

Address and resolve administrative issues promptly and professionally.
Communication:

Facilitate effective communication within the training academy.

Respond to emails, phone calls, and other inquiries in a timely and courteous manner.

Collaborate with team members to ensure consistent information flow.
Event Coordination:

Support the coordination of training events, workshops, and seminars.

Assist in logistics planning for on-site and virtual events.
Continuous Improvement:
- Proactively identify areas for process improvement in administrative tasks.

Recommend and implement efficient solutions to enhance overall operations.
Qualifications:

Strong organisational and multitasking skills.

Excellent digital skills, including proficiency in Microsoft Office and experience with Learning Management Systems.

Commitment to continuous learning and improvement of digital skills.

Friendly and welcoming demeanour with exceptional interpersonal skills.

Previous administrative experience is advantageous.
Education:
Four GCSEs including English and Maths grade C or above or equivalent qualification. Additional courses or certifications in administration, IT or digital skills is considered a plus.
